KWA Construction is currently searching to fill the Office Manager position within our main office, located in Addison, TX. This role is responsible for oversight and coordination of all office activities and equipment, as well as providing administrative support to the various company departments as requested.
A sample of the responsibilities for this position include:
Oversee day to day operations of the KWA office, including appearance, organization, mail processing and distribution, equipment coordination, supply inventories, filing systems, etc.
Conduct required monthly/yearly reporting and audit functions, taking follow up actions as required.
Coordinate and arrange travel reservations and prepare itineraries as requested.
Assist in the planning and coordination of company trainings, meetings, and events.
Responsible for researching, obtaining, and maintaining required city/county registrations in jurisdictions the company is operating.
Prepare, type, and distribute agendas and/or meeting minutes when requested.
Assist other departments as requested.
Responsible for the operation/maintenance of office equipment (i.e., copiers, postage meter, shredders, etc.); including research and recommendations on equipment replacements when necessary; serve as company representative in vendor communication/negotiations.
Order and maintain inventory of all technical equipment as needed/requested (i.e., computers, monitors, accessories, cables, etc.); serve as company representative in vendor communication/negotiations.
Assist with IT vendor as needed/requested to coordinate computer configuration, report outages, and communicate updates/maintenance to employees as requested.
Maintain a general understanding of what the current organizational safety requirements are and assist in the administration of the company safety program as requested.
Be on time, set priorities, and be personally accountable for the functions associated with assigned position and project in accordance with the Department’s Communication Plan.
Ability to work a minimum of forty (40) unsupervised hours per week, including the possibility of working during “off hours” and/or weekends.
Handle confidential information with the highest degree of professionalism.
Qualifications & Experience:
Bachelor’s degree or equivalent experience. At least two years of previous experience in office management and/or executive support role.
Proficient knowledge of Microsoft Outlook, Office, Excel and PowerPoint.
Working knowledge of Accounting Software.
Advanced knowledge of general office procedures plus ability to organize and coordinate group work efforts required.
Attention to detail is essential.
