At KWA, we’re just as passionate about our people as the work that they do.  We’re searching for an experienced Project Coordinator who is both skilled in multiple areas and eager to grow their impact within the industry.
 
Project Coordinators provide support to the KWA Operations Department, including administrative duties for Project Managers, Assistant Project Managers and field staff as well as ensuring governmental compliance (i.e., certified payroll, labor reporting compliance, MWBE compliance, etc.) for KWA projects.  

A sample of the responsibilities for this position include:

  • Responsible for the preparation, execution and proper filing of project generated documentation, including but not limited to:
    • Subcontracts, purchase orders, correspondence, reports, warranty information, etc. 
    • Ensure timely and accurate processing of all circulating documents.
    • Responsible for weekly updates of all applicable tracking tools. 
    • Create and maintain organized and up-to-date electronic and hard copy project files.
    • Act as liaison between home office and jobsite locations, as well as with external contacts, clients, municipalities, etc.
  • Responsible for KWA Subcontractor Certified Payroll Reporting process to ensure company compliance, including but not limited to:
    • Attend HUD Closing or Construction Start-up Meetings for new KWA projects requiring certified payroll; coordinate with government administrator to set-up projects in their online system.
    • Ensure all subcontractors are registered/entered into the online reporting systems.
    • Monitor Procore Manpower Reports weekly to ensure subcontractors are entering Certified Payroll Reports once their work has begun.
    • Review and approve subcontractor submitted Certified Payroll Reports for compliance; resolving any flags noted in the system.
    • Contact subcontractors that are not in compliance and send weekly internal notifications to KWA Accounting Department and project teams.
    • Assist KWA Accounting Department in the set-up/training of new systems to ensure compliance for all KWA employees that require certified payroll reports.
    • Coordinate with government administrator to complete final audit and any other project closeout requirements.

Qualifications & Experience:

High school diploma, plus 5 years administrative experience or equivalent work experience. Working knowledge of certified payroll and labor compliance.

Skills & Knowledge Requirements:

  • Proficient computer skills and ability to use MS Office suite of programs.
  • Working knowledge of certified payroll reporting systems (i.e., Elation Systems) a plus.
  • Working knowledge of accounting software, electronic signature software and construction management software.
  • Working knowledge of general corporate insurance requirements.
  • Proficient research and communication skills, a team player mentality and strong work ethic are essential.
